Executive PA & Office Manager

Our client is a long-established and highly regarded organisation.
An excellent opportunity has arisen for an accomplished Executive PA and Office Manager to join the head office in Wembley Central.
This is a varied and trusted role combining first-class executive support to a busy CEO with responsibility for the smooth day-to-day running of the office. The successful candidate will also assist with selected private and family-related matters.
You will be proactive, highly organised and confident managing upwards, with the ability to anticipate requirements and ensure the CEO remains focused on key priorities. A core part of the position will involve taking direct dictation from the CEO and promptly producing accurate, well-presented emails, correspondence and other documents.
Key Responsibilities
- Provide comprehensive administrative and organisational support to the CEO.
- Take direct dictation and produce emails, correspondence, reports and documents quickly and accurately.
- Manage the CEO’s diary, inbox, telephone calls and correspondence.
- Prepare agendas, briefing documents and meeting packs.
- Coordinate internal and external meetings from beginning to end.
- Arrange UK and international travel, accommodation and itineraries.
- Track actions, deadlines and commitments.
- Liaise with senior colleagues, suppliers and external stakeholders.
- Oversee the day-to-day running of the head office.
- Manage office supplies, equipment, facilities and service providers.
- Coordinate company insurance policies, renewals, claims and documentation.
- Oversee the administration of company vehicles, including insurance, servicing and maintenance.
- Process office invoices, expenses and purchase requests.
- Assist with private and family-related administration, appointments, travel and household matters.
- Handle all business and private information with complete discretion.
About You
- At least three years’ experience in an Executive PA, Personal Assistant or Office Manager role, supporting at CEO or C-suite level.
- A fast and highly accurate typing speed, with experience taking direct dictation.
- Excellent spelling, grammar and written communication skills.
- Highly proficient in Microsoft Outlook, Word, Excel and PowerPoint.
- Exceptionally organised and able to manage competing priorities.
- Proactive, resourceful and confident managing upwards.
- Calm under pressure, with strong judgement and a solutions-focused approach.
- Excellent interpersonal skills and the ability to build relationships at all levels.
- Comfortable working across a varied remit covering executive support, office operations and private matters.
- Able to handle confidential and sensitive information with absolute discretion.
